Privacy notice
Updated: 11 October 2026.
Controller and privacy contact
Jannik Trenz, sole trader operating under the names Trenz Events and DJ Trenz, Lisdorfer Straße 20, 66740 Saarlouis, Germany. For privacy questions and requests concerning your rights, contact info@trenzevents.eu or +49 174 9391794. No data protection officer has been appointed; these details identify the responsible business owner.
Scope
This notice covers djtrenz.de, the redirecting djtrenz.com addresses and their www versions, enquiries and our customer and contract administration. Trenz Events has its own website privacy notice. Taking and sharing event guests’ photographs is a separate processing activity: guests must receive the relevant information before photographs are taken.
Website hosting
Our host is ALL-INKL.COM – Neue Medien Münnich, owner René Münnich, Hauptstraße 68, 02742 Friedersdorf, Germany. Delivering and securing the website involves processing IP addresses, requested resources, access times and technical connection data. The basis is our legitimate interest in a reliable, secure website under Article 6(1)(f) GDPR. A processing agreement dated 25 August 2026 is in place. Its agreed safeguards provide for web hosting on storage systems in Germany. The subprocessor is Neue Medien Münnich GmbH, Bautzener Straße 56, 02742 Neusalza-Spremberg. Customer-accessible access logs and visitor statistics were disabled in our hosting account when checked on 10 October 2026. The provider may separately process technical infrastructure security logs; retention depends on the security purpose and applicable legal obligations.
Fonts, media, cookies and external links
Our pages serve fonts, images and videos from our own website files. Our website code uses no advertising or analytics cookies, Squarespace Analytics, Google Analytics, reCAPTCHA, external maps or embedded social-media feeds. Google reviews and social profiles are ordinary links. Following them takes you to the respective provider, whose privacy rules then apply. Language versions use separate URLs; we do not store a language preference in browser storage or automatically redirect you.
Email and telephone enquiries
We process the contact details, message and event information you provide to respond to your enquiry. Article 6(1)(b) GDPR applies where necessary to prepare or perform a contract with you; Article 6(1)(f) applies to other enquiries and business representatives, based on our legitimate interest in handling correspondence. Providing information is voluntary, but without necessary details we may be unable to respond or prepare an offer.
Our info@trenzevents.eu mailbox is hosted by ALL-INKL.COM – Neue Medien Münnich (address in the Hosting section). During migration, older messages also remain at IONOS SE, Elgendorfer Straße 57, 56410 Montabaur, Germany, pending completion of transfer and backup. This mailbox is also connected to Bookitup through IMAP. Email contents, sender and recipient details and attachments may therefore also be processed in Bookitup as retrieved through that connection, to handle and organise business correspondence.
Existing DJ mailbox at STRATO
Messages sent to djtrenz@djtrenz.eu and their connection data are processed by STRATO GmbH, Otto-Ostrowski-Straße 7, 10249 Berlin, Germany. The purposes and legal bases above apply. The move of the website to ALL-INKL has not closed this mailbox. A processing agreement with STRATO exists; its account-specific acceptance was last confirmed on 12 March 2025. No server-side filter rules for automatic forwarding are currently configured in that mailbox.
Enquiry form
Submitting the form sends your information directly over an encrypted connection to our Bookitup profile. The recipient is bookitup GmbH, Heinrich-Höschler-Str. 57, 50226 Frechen, Germany. Data includes first and last name (the contact person for a company), email and event date; optional company name, location, country, phone, guest count and message; and occasion, additional requests, language and the DJ Trenz service classification. We also send the website hostname followed by #anfrage to identify the source. The connection involves technical data, including your IP address.
The purpose is to answer the enquiry and potentially prepare a booking. Article 6(1)(b) GDPR applies to contractual enquiries from the contracting individual; Article 6(1)(f) applies to company representatives and other enquiries, based on our legitimate interest in handling incoming requests. Fields marked with an asterisk are required to submit the form; other fields are optional. You can alternatively contact us by email or phone. Our form code contacts Bookitup only upon submission, not while you type. Submitting an enquiry does not conclude a booking contract. Retention follows the criteria below.
Customer administration and contracts in Bookitup
We use Bookitup to manage enquiries, customer relationships and digital contract acceptance. It processes the necessary contact, event and contract details, messages and evidence of acceptance. The recipient is bookitup GmbH at the address above. Article 6(1)(b) GDPR applies to preparing and performing a contract with you; Article 6(1)(f) applies to other enquiries and business representatives, based on our interest in organising the business relationship. Evidence needed to document a contract is retained with the relevant transaction under the retention criteria below. The website enquiry itself is not contract acceptance.
Invoices with Lexware Office
Lexware Office processes necessary customer and contact details, invoice data and service information. A processing agreement is in place, with acceptance confirmed in the account on 12 November 2025. It identifies Haufe Service Center GmbH, Munzinger Straße 9, 79111 Freiburg, Germany, as processor. Article 6(1)(b) GDPR applies to contract performance and Article 6(1)(c) to statutory accounting and retention duties. Data is deleted when the applicable duties expire unless another legal basis requires continued storage.
Optional contact through WhatsApp Business
You choose whether to contact us through WhatsApp and initiate the chat yourself. If you contact us through WhatsApp Business, we process your messages, phone number and any name provided to handle your request, on the same bases as email enquiries. The EEA provider is WhatsApp Ireland Limited, Merrion Road, Dublin 4, D04 X2K5, Ireland. WhatsApp processes its own usage and connection data, potentially outside the EEA; its linked privacy information explains this. Email and telephone remain alternatives.
The app’s contact permission is restricted to selected customers who have already initiated a WhatsApp chat with us. It can match their stored phone numbers with its service; this permission does not grant access to the other address-book contacts. Automatic WhatsApp backups use end-to-end encryption. This setting does not cover all other iCloud data.
Where WhatsApp processes data on our behalf, its Data Processing Terms apply. Its Transfer Addendum describes transfers to WhatsApp LLC and Meta Platforms Inc. in the USA relying on the EU-US Data Privacy Framework and possible alternative transfer mechanisms.
Retention
We retain enquiries only as long as needed to handle them and any resulting contract. We then delete the data unless statutory retention duties or necessary evidence for legal claims require otherwise; further use is restricted to that purpose. For enquiries without a booking, the relevant criteria are completion of the enquiry and whether necessary evidence still needs to be retained. These criteria also apply to copies under our control in Bookitup and email. Consent can be withdrawn for the future; separate statutory retention obligations remain unaffected.
Your rights
Subject to the legal conditions, you can request access (Article 15 GDPR), correction (16), erasure (17), restriction (18) and portability (20). You can withdraw consent at any time for the future (Article 7(3)); earlier processing remains lawful. Use the controller contact above.
Your right to object
For processing based on Article 6(1)(f) GDPR, you can object on grounds relating to your particular situation. We will stop unless we demonstrate overriding compelling legitimate grounds or processing is needed for legal claims. You may object to direct marketing at any time without giving reasons; we then stop processing for that purpose.
Complaints
You can complain to a supervisory authority under Article 77 GDPR, particularly in your place of residence or work or where you believe an infringement occurred. Our local authority is the Landesbeauftragte für Datenschutz und Informationsfreiheit des Saarlandes, Unabhängiges Datenschutzzentrum Saarland, Fritz-Dobisch-Straße 12, 66111 Saarbrücken, Germany.
Apple Mail and iCloud
Apple Mail is our email application; ALL-INKL hosts the central mailbox, with older messages also retained at IONOS during migration; STRATO still receives mail for the existing DJ mailbox. Business contacts are also stored or synchronised through our ordinary Apple account in iCloud. The provider is Apple Distribution International Limited, Hollyhill Industrial Estate, Hollyhill, Cork, Ireland. Processing may occur outside the EEA. Apple identifies standard contractual clauses for transfers from the EEA; a copy can be requested through Apple’s privacy contact.
iCloud contacts are not end-to-end encrypted even with Advanced Data Protection enabled. They are encrypted in transit and on the server, with keys held by Apple. We use contact storage to handle and organise business contacts. Article 6(1)(b) GDPR applies where necessary to prepare or perform a contract with the individual; Article 6(1)(f) applies to organising other business contacts. The retention criteria above apply to contacts and synchronised copies.
DJ referrals
If you request a referral, we pass your completed event questionnaire to the DJ selected for your enquiry. It contains the contact and event information you entered so that this DJ can handle the request. The DJ contacts you and concludes the performance contract directly with you, processing the received information under their own responsibility. Necessary processing for the requested referral is based on Article 6(1)(b) GDPR, or Article 6(1)(f) for business representatives. Please do not enter health data, other sensitive information or unnecessary information about third parties in free-text fields.

Photo booth layout design with Canva and ChatGPT
We use Canva and ChatGPT, including in combination, to create personalised photo booth layouts. This involves first names and the event date, not customer or guest photographs. The purpose is to create the requested layout. Where personalisation is necessary for our contract with you, Article 6(1)(b) GDPR applies; details relating to other people require a separate legal basis. This does not automatically justify using a particular cloud or AI service. Canva is provided by Canva Pty Ltd, Australia; ChatGPT in the EEA is provided by OpenAI Ireland Limited, Ireland. Entered content is transmitted to the services used. Processing outside the EEA, particularly in the United States and, for Canva, Australia, is possible. The providers describe transfer safeguards, recipients, retention and their own processing purposes in the privacy notices linked below. Depending on the product and account settings, ChatGPT content may also be used to improve models; we therefore make no blanket promise that training is excluded. The Retention section applies to our stored layouts and inputs; provider retention is also subject to the respective terms. These tools are not embedded in this website and receive no data merely because you visit it.
